UI/UX Improvements For Sales Reps: a Client-first view of MeetMax

While event organizers need to see all of an event's details, Sales Reps see the event's world through the lens of their Client participation. So we've built a new starting page especially for Sales Reps. It displays a list of associated clients, where a Rep can see which events each client has registered for. The Rep can add them to current and future events, (using a handy type-ahead search), and even log into any event through any client record.

Registration Simplified Company Rep registration from CRM data

For CRM-integrated events, Company Rep attribution used to be a fairly time-consuming process that only event Admins could handle. But with this release, we’ve streamlined things so a Company can register its own Reps in MeetMax, and attribute CRM data. With this enhancement, the Company Rep registration form performs a silent CRM lookup. If there’s a single match on first name, last name, and/or email address, MeetMax populates the rest of the registration form automatically - and that includes hidden Admin-only fields like CRM ID, tier, etc. This update ensures faster, smoother data transfers between platforms throughout your event.

Event Creation Use multiple time zones in a multi-city event

For a multi-city event, it's possible that different legs will happen in different time zones. As an event Admin, you need to schedule meetings and programming from a single MeetMax event. But you also need to respect those time zone changes. With this update, you can set the time zone for each event day. Participants' schedules in MeetMax are labeled with each day's time zone. If a participant exports their MeetMax schedule to their personal calendar, event times convert to their local time.

UI/UX Improvements Place ad hoc events on any participant's schedule

For some events, you might need to book a participant into some non-meeting events (coffee, conference calls, transportation, etc). You can now do this right from the Calendar page. Once scheduled, these Calendar Items appear on participant schedules as well. Attendees and Companies can even add items to their own calendars.

Meetings Filtering the Request Meeting page for people with mutual availability

In Unmoderated meeting programs, your Attendees can already filter the Meeting Requests page to see who's available in a specific time slot. With this update, we've added a new filter called Mutual Availability. It shows you all Attendees who have any availability in common with you - that way, you can request meetings from people you can actually meet. For large events, this is a great time-saver for Attendees.

Meetings Meeting Times page: Organize declined meeting requests for more intuitive use

When you decline a meeting request, by default it disappears from the Meeting Times page. But many of you have pointed out that as your event scheduling progresses, it's helpful to see those declined requests in case you decide to reinstate some. So we've added an option to make declined requests visible on the Meeting Times page. You can even create your own groupings - see them mixed into the general request pool, or separate them into buckets by company, decline reason, or anything else you need. This makes it easy for your scheduling team to work between active and declined requests.

Meetings Update meeting attendance for multiple participants at once

As you work with the Meetings List, you'll need to track who attended their meetings, and who didn't. Instead of doing this one person at a time, you can now filter the list to any meeting(s) you need, and mark them all as Attended or No Show at once. Your tracking will be more accurate, and your reporting more useful.

MeetMax Check-In Faster event attendance tracking with bulk updates

This feature gives you more flexibility to define and track what "attendance" means for your event. You can now filter your Attendee List to any criteria - like everyone who viewed a webcast or everyone who took a meeting. You can then mark everyone in this group as "Is Attending" with a single action. Then you have a customized basis for reporting.

UI/UX Improvements Enhanced handling: Multiple Client Rep contact email addresses

Many of our clients attach multiple email addresses to a Client Rep. That way, the Rep's assistants or colleagues can be copied on their MeetMax correspondence. With this enhancement, we're capturing a Rep's primary and secondary email addresses separately. With the primary email kept separate, downstream reporting (like Corpaxe) isn't compromised. You can add as many secondary email addresses as a Rep needs. MeetMax includes them all as cc's on batch emails, meeting change notifications, and other messaging.

UI/UX Improvements Manage your List of Events in a calendar view

For our clients who host many events on MeetMax, it can be helpful to see your current List of Events as a monthly calendar. That helps you visually place your events in time, which makes it easier to plan and schedule. Switch back and forth with the original list view any time.

Meetings Schedule Joinable Group Meetings alongside regular meetings

Our Joinable Group Meetings feature is great for gatherings like company dinners, where you need to collect sign-ups and see who's opted in. We've enhanced this feature so you can now schedule people into Joinable meetings, right from the Meeting Times page. You'll also see a list of all signed-up participants.

UI/UX Improvements Send SMS (text) notifications to batches of Attendees

As a premium add-on feature, you can now filter the Attendee List, then compose and send a text message to that group. (For privacy protection, Attendees need to opt in to receive texts.) These notifications are great for welcome messages, last-minute programming changes, or asking for survey feedback. Use batch SMS messages alongside our mobile app push notifications and our automated SMS meeting reminders.

MeetMax Mobile Mobile notifications are easier to open and read on the go

When you send a push notification during your event, you want to make it as easy as possble for everyone to read the message. Our mobile app now displays your notifications as a pop-up on the app's home page. Participants can dismiss the message after reading, and go back to using MeetMax.
