Information Security Introducing SAML-based SSO for admin user accounts

As part of the our ongoing efforts related to security and compliance, we have deployed a new feature which allows clients to implement their own SAML-based Single Sign-On (SSO) for their MeetMax admin and Client Rep user accounts. This means that, once enabled, you will be able to log into your company's SSO provider and - with the right permissions - also be able to be logged into MeetMax (without remembering a separate username/password). In addition to this convenience for administrative and Client Rep users, it also means that your firm may more securely manage access to MeetMax using a centralized system (e.g. in the event of a separation from the company). PLEASE NOTE the client admin login page for MeetMax will now look slightly different.

MeetMax Badging Advanced printing rules for MeetMax Badging

MeetMax Badging is a powerful tool which prints badges on-demand using onsite hardware and software which is fully integrated with the MeetMax web appication. When event attendees arrive to check in, their badge is either printed through self-service QR code scanning or by way of a badging clerk looking them up in our onsite app. Now, depending on who the attendee is, this badge print request can be routed to different printers with different stock - as opposed to being tied to a specific printer. For example, at a given event you may have four different types of badging stock for different attendee types. Our application can now detect the attendee type,and send that badge to the printer which has the correct stock loaded up into it.

Meetings Meeting request fill automation for events with overlapping time slots

In our last release, we deployed official support for events which have meetimg time slots of differing lenghts (e.g. 15min, 30min). Our initial use case was focused more on unmoderated events, where end-users are scheduling their own meetings. This enhancement introduces formal support for using scheduling automation in a moderated event with multiple slot durations. This new functionality gives the event host the ability to establish a specified duration for a given automation run and a corresponding fill strategy (deciding whether you want to favor the admin-specified duration vs. the end-user specified preferred duration).

MeetMax ScanTracker Realtime visitor tracking with ScanTracker RFID scans

MeetMax ScanTracker is our leading-edge solution for tracking attendance at sessions in your event. RFID tracking is incorporated into our MeetMax Badging product, and tracks attendees coming and going from your session rooms and 1x1 meeting areas. ScanTracker has always recorded all the visitors to a given session, but in this latest release we've introduced the ability to monitor the current visitors for a session in near real-time. Telling you who is in the room now.

Meetings Including meeting-related data columns in the Meeting Requests report

This enhancement provides some long-requested functionality which allows an event host to include meeting-related columns within the Meeting Requests list page - specifically the count of people in a meeting, the meeting type, the location, and the start/end time of the meeting.

Meetings Additional data in the Meeting Times page hover tooltips

The hover tooltip for each attendee on the Meeting times page has always included the request rating fields such as Interest Level or Preferred Meeting Size, but with this latest update we've added the numeric ranking as well as suggested meeting time and preferred duration if that is being offered.

Meetings Allowing for the use of Private meeting locations in auto-assignment

This is a small change to our existing meeting location auto-assignment feature. Experienced MeetMax event hosts will know that a meeting location can be set to Private, Reservable, or Open. Historically, the locations assigned as Private (for host use only) were not eligible to be used for auto-assignment. This has now been amended so that a toggle flag exists in the auto-assign tab of the Assign Location Grid which allows an event host to choose to use certain Private locations in the automation. An example is for scheduling banker meetings into banker rooms at an investor conference.

3rd Party Integrations Salesforce Platform API update

This upgrade was released back in April in order to ensure no disruption in service for our clients using our Salesforce integration. With the coming of the Summer '23 release Salesforce has deprecated the version of their API services which we had previously been using. So we've updated our integration to utilize the latest Salesforce Platform API.

MeetMax API Adding date filters to the events/list API service

By request from several clients, we've added new date_from and date_to filters on the event/list API service. The date formatting is yyyy-mm-dd and will allow you to filter your request payload by the start date (date_from) or end date (date_to) of the event.

Data Processing Allowing for more flexible importing of company reps

This feature is aimed at addressing several different use cases. At the core of it is the notion that sometimes an event host may want to import attendees into the system as company reps associated to a company record, but where the person doesn't necessarily share the company name as the entity to which they are being imported. A common example of this would be a situation where you want to import attendees from different firms into a single buyer group for the purposes of scheduling meetings. What we've done is allowed for inclusion of the parent_id field as a field which can be exposed for import mapping, so that you can include this as a column on your company rep import lists. This will allow you to have different company names but still properly associate the attendee with the correct parent company.

Registration Allowing the Company Contact to resend the Welcome email to their Company Reps

In events which feature company/exhibitor registration, there is typically a Company Contact or Coordinator who is tasked with managing the company level account, as well as registering their colleagues into the event. What we've done here is to provide feature functionality that allows this person to easily resend the Welcome email to any of their company reps in the system.
