We deployed a small release in February with a single new feature, so we've combined the release notes for 52 and 53.

Meetings Automated meeting reminder notifications (SMS/text)

This new feature allows event hosts to have MeetMax automatically generate a text message reminder before each meeting when an attendee has opted in to receive these alerts. The purpose is to ensure that attendees do not forget their meetings - and applies to all meetings for an attendee. The alert message is configurable by the Technical Support team and includes merge fields for the event name, attendee name, and time of the meeting.

Custom Pages Custom Records for Participant Products, Services and Opportunities

We've developed a powerful new feature that's based around the idea that attendees or companies at an event often have specific offerings that they want to promote to other users. These could be deal summaries or active funds for a PE conference, or specific products and services for a trade event. This is designed to support a meetings program, where a simple description of the person or company is not sufficient to inform a meeting request.

This new tool is very flexible and allows participants to author any number of products or services, or deals or opportunities - with descriptions for each. Meeting counterparts can search these services and request their owners directly form the service. In addition, a participant's services are displayed on their pop-up profile. The custom record, as we're calling it, is set up with a form editor just (like a registration form) where the event host can establish field configuration for any number of fields needed to effectively describe it.

For example, a trade show with event planners as buyers and exhibitors across various sectors including venues, technology solutions, and air travel agencies. Each buyer might author a custom record type called "upcoming events" where they provide searchable fields such as event format, location, size, services needed, etc. And on the other side the exhibitors might author one of several possible custom record types - perhaps one being "venues" with specific searchable fields such as "venue type", "location", "amenities", etc. End-users could then search through people/companies to meet based on potentially many different custom records even within one attendee/company profile.

3rd Party Integrations Upgrades to the Prism CRM integration

As more clients come online with the Prism CRM product from Datazoic we have continued to expand our integration feature set. This latest upgrade implements a lookup feature for the CRM identifier field so that you can quickly and easily fill in missing contact or account data for an attendee who has already been added into the system. Additionally, we've implemented a feature which allows an event administrator to search for, and import, a company or attendee from Prism directly into MeetMax.

3rd Party Integrations Upgrades to the CorpAxe Calendar integration

In our last release we deployed the initial version of our integration with the CorpAxe Calendar product. This allowed us to push company and attending management data over to the forward-looking calendar provided by CorpAxe with a simple click of a button. We've added two updates to this feature which will allow an event host to attach the required CorpAxe role to the management attendees, as well as indicate which companies and management names should or should not be sent over to the CorpAxe Calendar when data is pushed.

3rd Party Integrations Update to the Authorize.net payment gateway integration

As part of our ongoing efforts at maintaining a secure application, we're migrating clients to a newer implmentation of the Authorize.net integration for payment processing. The setup for this version has been moved entirely to the front-end of MeetMax and also ensures that credit card information is never sent to our servers - instead sending it immediately to the payment processor. All other feature functionality is preserved and no other changes need to be made to your payment gateway account. We will be migrating clients over to this new solution as soon as it is released into the production environment, and will be sunsetting the legacy version in our next release later this year.

Reporting Improvements to the Meetings and Meeting Requests report download process

On events with very large data sets we have previously seen issues where, especially on a slower internet connection, a report may time out before the download completes. We've implemented an update for the two largest reports (Meetings and Meeting Requests) which moves the processing of the download request into the background so that users will not experience timeout errors when downloading very large reports.

Reporting Adding an event-wide blackouts report

Longtime users will know that we've had an Availability report under the Meetings menu for years. This report shows all available time slots for all users. What we've implemented for this release is a companion Blackouts report which is the inverse, showing all time slots for which users have expressed a blackout time.

UI/UX Improvements Features for managing the display of instructional text

For many events there is a need to show longer instructional information on a specific page, often the Meeting Requests interface, to guide users on how to engage with the system. These can get long and might include screenshots or videos. When this is simply shown at the top of a page it tends to push the actionable content far down the screen (especially on mobile devices).

This new set of features allows event hosts to configure whether they want a specific instruction message tag to be dismissed permanently after being seen, or alternatively provide a link to hide the content with another link to show it again, or alternatively show the content in a pop-up dialog.

Meetings Showing a meeting request status in the pop-up profiles

A few releases ago we implemented a feature which allows a user to see the Request and Message buttons on the pop-up profiles for other users when they are shown in a custom list, or on the presentation/agenda page, and other interfaces which aren't the Meeting Requests page. We've expanded upon that feature so that now the status of an existing request relationship can be shown here as well.

UI/UX Improvements Automatic expiration of end-user account lockout

In a recent release we introduced the ability to implement a lockout after a specific number of failed login attempts by end-users. To assist event hosts with managing this feature we've added a new field in the Enable Features menu which allows you to set an expiration window for the account lockout, which would automatically unlock the account after a specified amount of time.

UI/UX Improvements System-wide Alerts for Admin Users

The operations team always sends out an email announcement about new releases in order to let clients know about new features, but also to let them know of scheduled down time for maintenance. This new feature simply provides for us a way to show a one-time on-screen alert to all of our event admin users which conveys important announcements about the system.

MeetMax API Adding the request rating fields to the attendeerequest/list api service

Just as it says on the tin, by request from our api consumers, we've added the source and target request rating fields (e.g. interest level) to the api service which returns a list of meeting requests for a given event.

Smaller Fixes Adding the Presenters to the Combined version of the Your Schedule page

We've long had the Presenters showing in the version of the Your Schedule page which has Presentations you're attending broken out into a separate section. This update simply includes the Presenters to be shown on the Combined version of the Your Schedule page as well.

Smaller Fixes Defaulting the find-a-time calendar view to week instead of day

During our last major release we implemented a new feature for unmoderated meeting events which allows end-users to more easily find a mutually available time to meet with a calendar view. The default layout of this was initially for a single day, but we've adjusted this so that it defaults to the week view so as to minimize friction in multi-day events.

Smaller Fixes Adding four new column options to the Presenters list

Based on client feedback, we've added the ability to include the following columns on the Presenters list page. Presenter Email, Presenter Telephone, Presenter Cellphone, Presenter Title.

Smaller Fixes Adding two column options to Meeting Requests and Meetings downloads

Based on client feedback we've added the State and Country fields as columns available to be included in the Meetings and Meeting Requests downloads.

Smaller Fixes Adding a new column option to the Companies list

Based on client feedback we've added the Internal Contacts field to the Companies list as an available column to be added.

Smaller Fixes Consistent time formatting on the Presentations and Activities pages

On the Presentations and Activities pages the start/end times previously had different time formatting as it relates to leading zeroes. We've made this more consistent, dropping the leading zeroes for all.

Smaller Fixes Updates to Template Events

We've updated the template event feature so several additional settings and configurations will be copied over when a new event is created as a copy from a template. These include pop-up profile display settings, received requests page display settings, presentation schedule display settings, address verification service field settings, and guest reg types as well as free guest filters for payments events.
