More exportable calendar details for CorpAxe |
CorpAxe Calendar 2.0 launches July 7, 2025. To comply with these changes, MeetMax will now publish more details about your events and participating Companies. Learn more about the new required fields here. These changes to CorpAxe will cause existing events to stop publishing until you've added the required details. Attendees can now be configured to allow multiple meetings at the same time |
As a rule, MeetMax prevents an attendee from being scheduled in two places at once. But we've heard from clients that sometimes you have an attendee - often somebody in senior management - who needs to be able to float between more than one meeting. We've added our “Number Diaries" feature to the Attendee form editor. That way, when needed you can increase the number of simultaneous meetings an attendee can be scheduled in. Option to hide Attendee names and focus on Institution names |
For power schedulers in moderated scheduling events, we've made the Meeting Times page easier to use. On the right side of the page, you can now show or hide the attendee names in the Meeting With column. That reduces scrolling and makes it easier to focus on the institutions you're scheduling for. Identify who's available in a specific time slot |
One of the Meeting Times page's core features has always been allowing schedulers to select one or more requests, and see available time slots. With this enhancement, you can now work in reverse. By clicking a start/end time in the Time Slot column, you’ll quickly see which requests are available to be scheduled into that slot. Assigning reasons for declined meeting requests |
In events with highly sought-after targets (like AAPL, NVDA), it’s common to receive more meeting requests than available slots/seats. Previously, customers often used the Target Ratings tool to manually capture reasons for declined requests. We’ve now introduced a dedicated Decline Request reasons field, configurable at the event level. This introduces more data consistency, especially for those using our API services to store data for downstream integration with aggregators. From the Meeting Times page, schedulers can decline one or more requests and assign a reason in a single step. Adding informational tags to meetings in the scheduling interface |
You can now add informational tags to scheduled meetings, to highlight important details or constraints. Tagged meetings display prominently in the Meeting Times scheduling interface. Event staff can use them to manage complex requirements when adjusting schedules. Cancellation reason can be edited after a meeting is canceled |
Meeting cancellation reasons are valuable data, especially when they're being included in buy side reporting. If you cancel a meeting and forget to add a reason, or that reason changes, you can now go to the Canceled Meetings list and add the cancellation details. Granting Schedule Approver permission to specific roles |
This new feature allows event hosts to designate one or more roles as Schedule Approvers. A common example is when companies need to review and approve their meeting schedules before attendees can see those meetings. Approvers will see an alert on the Your Schedule page, along with an Approve Schedule button. Expanding bulk printing pagination options |
Previously, when bulk printing schedules in MeetMax you were limited to batches of 20 schedules at a time. To better accommodate larger events, you can now increase that limit to batches of 50 or 100, for faster print and PDF generation at scale. Please note that the default limit was originally set to prevent excessive load on browser processing and network resources. Performance may vary based on individual system capabilities. Collecting presentation feedback from Attendees |
We've introduced a new feature that allows attendees to provide feedback on Presentation sessions in MeetMax — including company/sponsor presentations, fireside chats, panels, and keynotes. Attendees will be able to go to their presentation schedules, and see a Rate button on each presentation that has already started. Attendees can submit a star rating (1–5) and/or a written comment. They can also edit or delete their feedback at any time. Event hosts can easily download all feedback data in spreadsheet format for review and analysis. Adding tickers to the Switch Company dropdown |
While you're working in the Company List, the Switch Company menu lets you easily jump to another record. We've added company tickers to this menu, to give you another way to search. Event List improvements, based on your feedback |
In our February release, we introduced a major upgrade to the MeetMax Event List layout. Since then, we've received a lot of valuable feedback — both positive and constructive — and we're excited to roll out a series of improvements based directly on your input. - Expired events are now hidden by default, but can still be viewed using filters.
- By default, events are now in ascending order by event date. That way, the events you're actively working on appear at the top.
- The Search function now defaults to Event Name instead of Event ID, making it easier to find events at a glance.
- You can now click any event name to open it - as you could with the previous version of Event List. The Login button is also there for access.
- Need to create a new event? Use the handy Add Event button.
- We added a new filter for the Host contact name/email, to enable more targeted searches.

Configurable ordering for grouped Custom List Pages |
MeetMax's powerful Custom Pages feature allows event hosts to include dynamic content, like embedded forms and filtered lists of attendees, companies, or uploaded files. When displaying a Custom List Page, you can now group records based on field values (like grouping Sponsors by sponsorship level). Previously, these groups were always displayed in alphabetical order. You can now use the Form Editor to order fields as you prefer, and that controls the display order in your Custom Lists. No-show reporting for Meetings scanned by ScanTracker |
For a ScanTracker Session that's associated with a Meeting, the reporting now highlights Attendees who have not yet arrived to their scheduled meeting. On-site staff who are actively tracking attendance can now drill down to a specific time slot. As scanning proceeds, the report rapidly narrows to just the Attendees who are missing. To further trim the list, you can also filter down to just those missing Attendees who have actually checked in to the event and had their badge printed. |

Warning for admins trying to change occupied meeting time slots |
Once you start scheduling meetings, we have observed that changing your event's time slots can lead to data integrity issues with scheduled meetings in those time slots. MeetMax will now prevent you from changing any time slot that already has meetings scheduled in it. If you still need to change these slots, reach out to our Support team.
